About the role

This role provides administrative and clerical support to the Center Director and management staff, ensuring compliance and quality program delivery for CAPSLO's mission. Responsibilities include performing various clerical tasks, managing office supplies, preparing requisitions, and representing the Center in the community through outreach.

Please note that this is a temporary, full time position scheduled to work anywhere from 30-40 hours per week.

Under general direction, provides administrative and clerical support to the Center Director and other management staff, including outreach.

Supports CAPSLO’s mission by providing administrative support to Center staff to ensure compliance and quality program delivery.

What you bring to the table: Level I: Must have a high school diploma/GED and three years of experience in office management and clerical duties or an equivalent combination of education and experience.

Level II: Must have at least 6 months on-the-job experience, proficiently fulfilling the responsibilities and duties of an Administrative Assistant I.

Valid Drivers License and auto insurance is required.

As an Admin Assistant you will: Performs a variety of clerical tasks, including but not limited to word processing, data entry, filing, copying, computing, mailing, and tracking information.

Enters all data into the agency system.Picks up and distributes mail, packages, and correspondence from Administration.

Maintains current knowledge of CAPSLO Health and Prevention Division and all agency programs, organizational structure, and policies and procedures.

Represents The Center and the Health & Prevention Division in the community; staffs outreach tables at community events, networks with related agencies, and supports linkages to The Center’s services.

Answers phones as needed.

Maintains office supplies and inventory; reorders as needed.

Maintains clinic change fund.Prepares monthly purchase requisitions and purchase orders as needed.

Maintains packing slips, prepares vouchers, obtains Division Director signatures, processes vouchers at the Administrative Office, and files copies at the clinic.

Helps maintain general office space in an orderly and clean manner.

Attends monthly staff meetings and trainings as requested; takes, maintains, and distributes meeting minutes when assigned.

Maintains clinic training binders and other binders as needed.Uses reasonable precautions in the performance of duties; adheres to all applicable safety rules and practices; and acts in a manner that ensures maximum safety for oneself, fellow employees, clients, and children.
