The Patient Coordinator will assist the orthodontist during clinical procedures, including placing braces, taking impressions, and adjusting orthodontic appliances. They are also responsible for maintaining clinical areas, sterilizing instruments, and ensuring accurate patient record-keeping.
Candidates must have a high school diploma or equivalent, with a preference for those who have completed an accredited orthodontic assisting program. A minimum of 1-2 years of experience in an orthodontic or dental setting is required, along with strong communication skills and knowledge of HIPAA regulations.
Description The Patient Coordinator plays a vital role in ensuring smooth scheduling, preparation, and follow-up for patient appointments. This position supports patients throughout their care experience, coordinates communication between providers and patients, and ensures all clinical and administrative needs are met.
Schedule all patient appointments, ensuring accuracy in time allocation, provider availability, and operatory needs. Confirm appointments are appropriately spaced and aligned with provider and operatory availability. Coordinate pre-appointment and follow-up visits as directed by the clinical team. Contact patients to confirm appointments and provide preparation and follow-up instructions. Clearly communicate preparation instructions, financial expectations, and appointment timelines. Address patient questions and concerns in a professional and compassionate manner. Ensure all required documentation, including consent forms, medical histories, referrals, and imaging, is collected, reviewed, and uploaded into patient records. Assist with verifying referrals and obtaining insurance authorizations prior to scheduled appointments, as needed. Maintain the appointment calendar and alert the Office Manager or clinical team of any conflicts or changes. Monitor and reorder supplies as needed to support daily operations. Assist patients at check-in and check-out when necessary. Support administrative projects and provide coverage during absences or high-volume periods. Participate in regular staff meetings and training sessions. Perform other duties and responsibilities assigned by management.
Qualifications & Experience: High school diploma or equivalent required; some college coursework or healthcare-related education preferred. Previous experience in dental or healthcare scheduling preferred. Strong organizational and multitasking skills. Excellent communication and patient service skills. Familiarity with dental practice management software (e.g., Dentrix, Eaglesoft) is a plus.
