About the role

Provide clinical and administrative support for transplant surgery clinics, including liver and kidney programs. Responsibilities include obtaining vital signs, managing medication refills, and coordinating patient appointments across multiple healthcare disciplines.

Employment Duration: 3 months

Under the general supervision of the practice supervisor, guided by the policies and procedures of the Transplant Service, the Department of Surgery, and Ambulatory Services, the Medical Assistant is responsible for supporting the transplant clinical areas, including liver, kidney, and non-transplant surgery clinics. The incumbent projects a professional and courteous demeanor and is required to comply with Medical Center House and Telephone Standards.

In support of the abdominal transplant program, the incumbent will

Schedule new and follow-up appointments.

Demonstrate competence with medication refills, maintaining standing lab orders, and other duties as assigned under the direction of the clinician.

Demonstrate understanding of the prior authorization process for post-transplant medications and procedures and ensure all authorizations are in place prior to appointments.

Perform routine clinic duties, including obtaining vital signs, weight, and medication review.

Work collaboratively with clinical staff, including Medical Assistants, LVNs, RNs, Physicians, and Advanced Practice Providers.

Key Responsibilities

  • Handle medication refills, lab orders, and other office functions appropriate for a Medical Assistant.
  • Schedule and reschedule patient clinic appointments while communicating directly with patients, family members, and the transplant team.
  • Obtain authorizations for clinic appointments.
  • Ensure APEX and TeleResults data entry is accurate, complete, and timely.
  • Confirm financial authorizations using Cadence (APEX).
  • Coordinate patient appointments across multiple healthcare disciplines, including Radiology, Surgery, Gastroenterology, and specialty clinics.
  • Arrange and authorize follow-up testing and appointments as requested by the transplant team.
  • Collect laboratory and diagnostic test results in preparation for clinic visits.
  • Collect, verify, and enter insurance information into APEX.
  • Maintain clinic schedules in accordance with physician calendars.
  • Provide backup support for colleagues as needed.
  • Perform routine clinical functions and document in the electronic medical record (APEX), including:
  • Vital signs
  • Height and weight
  • Medication reconciliation
  • Chief complaint documentation
  • Document interpreter use as appropriate and coordinate interpreter services for in-person, phone, or video appointments.
  • Assist nurses, providers, and patients in preparation for examinations and procedures.
  • Monitor patient flow throughout the clinic.
  • Facilitate referrals to other providers as ordered by the Advanced Practice Provider or physician.
  • Update and maintain pharmacy information in APEX.
  • Schedule and order procedures under the direction of Advanced Practice Providers.
  • Process and document all clinical actions in APEX.
  • Perform clinical activities accurately and in a timely manner.
  • Utilize the electronic health record (APEX) within the scope of practice to:
  • Document vital signs, height, weight, and pain scale.
  • Enter patient chief complaint and history.
  • Enter patient-reported medications and allergies.
  • Order and sign point-of-care testing with signed protocol.
  • Document point-of-care test results.
  • Enter and pend provider orders.
  • Open medication refill encounters for providers.
  • Schedule laboratory, radiology, and other testing with written provider orders.
  • Open telephone encounters and staff messages.
  • Demonstrate service excellence through professional communication, teamwork, cultural sensitivity, privacy and confidentiality practices, infection prevention, and adherence to organizational quality standards.
  • Maintain a clean, safe, and organized work environment.
  • Perform other duties as assigned.
