The Unit Secretary provides administrative and clerical support to medical and nursing staff, focusing on provider scheduling and patient appointment coordination. Key duties include managing medical records in Kipu, handling communications, and assisting with quality control reports.
The Unit Secretary will work with the Nursing Management team to ensure the providers and scheduling is completed and implemented. The purpose of the Unit Secretary Supervisor is to assist medical and nursing staff in administrative duties and clerical work.
1.
Work with outside doctor’s offices to schedule appointments for clients as requested 2.
Answer phones courteously and take messages as needed.

Organize and maintain the return Meds Pharmacy Spreadsheet.

Organize and maintain the provider working schedule 5. communicate call offs and work schedules as needed 6.
Acknowledge, report and properly document all accidents, incidents, errors/omissions.
7.
Organize and facilitate client appointments with the MD/ARNP as requested 8.
Complete all assigned paperwork in a neat, accurate and timely manner.
9.
Complete incident reports according to policy in a timely, accurate manner.
10.
Communicate with staff as necessary to promote quality patient care.
11.
Assist with scheduling of nursing department and medical staff.
12.
Assist with ensuring staff mandatory trainings, competencies and reviews are completed timely.
13.
Observe and report safety, maintenance problems.
14.
Interact appropriately with patients, showing them respect while maintaining boundaries.
15.
Scan all Labs, EKGs, and Medical Records into the computer and upload them into Kipu as needed.
16.
Make appropriate daily schedule for Doctors and ARNPs to ensure that the patient’s History, Physical, and Psychiatric Evaluation are completed.
17.
Ensure critical lab results or Dr/ARNP orders are transferred to nurses on duty in a timely manner.
18.
Keep supplies stocked and audit inventory as needed.
19.
Exercise sound professional judgment and seek assistance as necessary to effectively manage patient behavior.
20.
Work in collaboration with Director of Nursing to complete all assigned tasks.
21.
Coordinate with Medical Director as needed to review schedule for the day and to review case management paperwork as needed.
22.
Ensure and assist DON with quality control and Performance Improvement QA reports as needed.
23.
Compile and keep accurate information for the Infection Control Monthly Report.
24.
Perform other duties as assigned by Supervisor.

Demonstrates knowledge of Substance Abuse experience.
Candidates should ideally possess an Associate Degree or certifications such as CRS, MA, or CNA. One year of experience in a secretarial role or within the medical/substance abuse field is preferred.
