Orlando Health Watson Clinic Lakeland Highlands Hospital – a state-of-the-art, seven-story, multi-specialty hospital – will serve as a vital 550,000 square-foot healthcare hub offering:

A Brief Overview

The department secretary performs diverse secretarial, staffing and/or administrative duties for assigned department(s) or professional team.

This is a full-time position working Monday through Friday from 9

  • AM to 5:00 PM.

Responsibilities

  • Answers phone calls, routes callers, takes messages and provides routine information to callers Ensures payroll is updated and accurate daily in preparation for timely manager approval.
  • Reviews team member sick log and daily staffing sheets frequently to ensure entries match the electronic scheduling program Monitors time and attendance through time keeping system (Kronos) Assists leadership in the development and maintenance of schedules.
  • Responsible to open, close and post the schedule Identifies and fills department staffing shortages Assists leadership in projecting staffing needs based on established unit staffing matrixes and utilize PRN team members to fill vacancies Processes schedule and time changes assuring overtime and staffing guidelines are followed Handles payroll correction forms as needed Distributes incoming mail, orders supplies, and forms as needed Submits work orders for necessary housekeeping, maintenance and biomedical or other work orders as needed Prepares and distributes new hire schedules during unit orientation Maintains team member e-mail distribution lists in Outlook Maintains department specific phone trees Assists department leaders with interview scheduling Organizes meetings including distributing materials, transcribing minutes, and typing routine correspondence/reports Establishes and maintains department files and records on an ongoing basis Uses discretion when working with confidential information Performs all other duties as assigned Maintains established departmental policies and procedures.

Qualifications

High School diploma or equivalent. Working knowledge of word processing, spreadsheet, presentation and/or database software, preferably Microsoft Office-based products (Word, Excel, PowerPoint, Access). Two (2) years of clerical or secretarial experience Hospital or healthcare experience is preferred. Candidates with previous experience working in a hospital setting are strongly encouraged to apply.
