About the Position

The Detox Coordinator serves as the administrative and communication coordinator for the detoxification unit. This position supports safe, compliant, and efficient unit operations by managing patient census, maintaining medical record integrity, processing provider orders, and facilitating interdisciplinary communication. The Detox Coordinator plays a critical role in documentation accuracy, patient safety processes, confidentiality compliance (HIPAA), and regulatory readiness.

Your Role

Maintain accurate and timely patient census records. Assemble, audit, and maintain medical records (electronic and/or paper) to ensure completeness and compliance. Transcribe and enter dictated provider orders into the Electronic Health Record (EHR) in accordance with organizational policy. Maintain strict accuracy when entering medication, laboratory, diet, and treatment orders. Escalate any unclear, incomplete, or conflicting orders to the provider or supervising nurse prior to entry. Process provider orders per organizational policy, ensuring accuracy and appropriate routing. Ensure diagnostic orders (e.g., labs, EKGs) are documented, scheduled and communicated appropriately. Schedule all admission History & Physical examinations within required regulatory timeframes. Coordinate and schedule nutrition consults, medical provider evaluations, and sick visits based on physician orders or interdisciplinary referrals. Track pending referrals to ensure timely completion of ordered services. Monitor receipt of laboratory and diagnostic results; notify nursing staff of pending or abnormal results per protocol. Support medical record audits and documentation compliance initiatives. Maintain secure handling of Protected Health Information (PHI) in accordance with HIPAA regulations. Facilitate timely communication between nursing, medical staff, pharmacy, admissions, and ancillary departments. Ensure updated patient lists and assignment sheets reflect real-time changes. Ensure transfer and discharge dates are accurately entered and updated in the EHR Maintain accurate bed board status and communicate updates to interdisciplinary team as appropriate Immediately escalate urgent communication or safety concerns to appropriate clinical leadership. Assist with coordination of admissions, transfers, and discharges to prevent information gaps. Maintain orderly, organized, and secure nursing station and documentation areas. Ensure charts and confidential materials are secured at all times. Support compliance with infection prevention protocols by maintaining clean and organized administrative spaces. Submit maintenance or safety work orders promptly when hazards are identified. Participate in emergency preparedness drills and procedures as required. Answer and triage incoming calls professionally and confidentially. Coordinate outside appointments and transportation logistics as directed. Prepare interdisciplinary meeting materials (census reports, care coordination lists, etc.). Maintain supply inventory for unit administrative materials. Support scheduling communications and shift report preparation.

Requirements

Candidates must possess a High School Diploma or GED and have 1–2 years of clerical or administrative experience. Proficiency in medical terminology and strong communication and organizational skills are required.

Compensation
