The Program Assistant will provide extensive administrative and clinical support to the Director of Assessment Services and clinic leadership, focusing on the operations of the Center for Effective Therapy (CET), particularly neuropsychological services. Key duties include coordinating intake, scheduling, managing waitlists, administering and scoring neuropsychological assessments, and supporting revenue cycle management.
Requirements summary

Summary of position: The Baker Center for Children and Families (also known as Judge Baker Children's Center), promotes the best possible mental health of children and families through the integration of research, intervention, training, and policy. The Program Assistant will provide a wide range of support services to the Director of Assessment Services and clinic leadership, as well as staff clinicians and trainees. The Program Assistant will report to the Director of Assessment Services & Director of Business Operations and will provide direct clinical and administrative assistance in support of the Center for Effective Therapy (CET) operations. Individuals in this position will be supporting the neuropsychological services at CET. This includes screening, intake, and scheduling, as well as administrating, and scoring neuropsychological assessments. Additionally, there may be opportunities to learn about and observe various evidence-based therapy practices and participate in an internal graduate school preparation workshop series. Administrative Responsibilities
Coordinate the intake process for families by conducting in-depth clinical phone interviews with caregivers, coordinating with providers regarding client referrals, answering clinic questions, managing assessment scheduling, and maintaining client waitlists.
Participate in weekly supervision, assessment seminar, evidence-based practice meetings and weekly neuropsychology meetings. Participation in neuropsychology didactics is also available.
Support clinical staff by managing confidential documents and preparing supplies and equipment for assessments and testing sessions.
Assist with office management services such as: checking in clients, processing payments, and communicating with clients via phone and email.

Produce and distribute meeting minutes.
Assist in advertising and marketing efforts, such as creating, updating, and distributing brochures and other marketing materials.
Support the Directors of CET in other administrative and operational support as needed.
Clinical Responsibilities
Administer, score, and interpret standardized assessments, including parent, teacher and self-forms.
Verify insurance coverage, document cost estimates for families, and assist in obtaining and tracking prior authorizations.
Schedule and track neuropsychological evaluations.
Manage and update patient tracking and report tracking logs.
Set up neuropsychological materials before, during and after assessments.
Manage neuropsychological materials, including ordering, organizing and maintenance of materials.
Score and input standardized assessment data, including creating tables/spreadsheets of test scores.
Manage neuropsychological database.
Assist in writing portions of diagnostic assessment reports and pediatrician letters.
Assist with training of new hires.

Qualifications
and Skills: Education:
A Bachelor’s degree (or foreign equivalent) in Psychology, or related field, from an accredited academic program.
Experience
• 1-2 years of clinical experience with children.
Training
Experience with statistical analysis for quality improvement or evaluation purposes.
Excellent interpersonal, organizational, and communication skills that allow for skillful interactions with caregivers, children, staff, undergraduate volunteers, and professionals from other fields.
Strong project coordination skills.
Ability to work and complete assignments independently.
Proficient with Microsoft Office (Word, Excel, PowerPoint).
Must be able to demonstrate discretion and independent judgement while collaborating with a team.
