Administrative assistant - Note entry (Neas)
- This is a PART-TIME hourly position.
- The average hours one works ranges between 2-10 per week.
- This could be more or less depending upon how many providers you want to take on.
- In our agency, we have "double documentation", which means our clinical providers write their notes into a spreadsheet, and then they must be copied and pasted into the county Electronic Health Record system.
- This job is to copy those records over individually, and ensure excellent quality by reviewing minimum standards.

for Qualification: General knowledge of field of mental health and substance use Unwavering commitment and ability to follow HIPAA compliance A self-starter who is motivated and excited about the field of mental health and substance use is necessary for this position as we trust our employees, work as a team, and provide minimal oversight, unless more is needed. The KSA’s listed below the position description. Successfully complete all required training within 60 days of employment.
Job Duties
Enter staff notes into the Dane County Module in a timely manner
- current policy states notes must be entered and fully caught up for each provider you enter for at least two times per week, with two days in between. Additionally, there is increased needed availability between the 3rd and 5th of each month in order to follow this policy:

- Policy: (This outlines the required deadlines of this position) Have notes fully caught up at least twice per week, with at least two days in between. Must alert the provider when their notes are caught up to completion via “tagging” in their notes spreadsheet. All notes entered into module by Midnight on the 4th Must respond to any/all communication from anyone at Hope Inspired within 72 hours. Check all notes for accuracy with AM/PM, Client/Client Initials, Correct Chart, Time adds correctly Must follow NEAS Coverage policy NEAS should always plan to login and work on the third, fourth and/or fifth of the month to get the last notes in the module. (See deadlines above for providers to complete the writing of their notes.) Ensure notes meet all of the required criteria for content and formatting Make sure the content of written documentation meets the desired quality standards by checking the style, tone, structure, grammar, and other important aspects of written products Ensure accuracy of notes, including time computations; monitor for discrepancies and professionalism Assist with running reports as requested Scan and upload documents as requested Monitor chat inbox and email and respond appropriately to staff questions regarding notes or other matters as soon as possible Other activities as assigned
