Clerk I - The Clerk I(Medical Diagnostic Clerk) functions as a member of the medical clerical support team under the direct supervision of the Medical Director. The Clerk I performs clerical duties requiring application of varied complex work methods and procedures. Has latitude for decision making in carrying out routine and special phases of work, timely completion of the clinical record, maintaining records and confidential files, preparing routine and special reports, and utilizing computers and various automated office machines. Exercises initiative and judgment in determining individual methods and practices for work situation. Essential Job Functions (EJFs): Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned. Files and maintains order of active charts. Thins chart as needed; maintains retention charts following guidelines. Audits active charts and electronic records in order to recognize deficiencies, errors or lack of documentation in accordance with facility guidelines Manages inactive clinical records to assure accuracy of information and timely availability to medical staff. Assist with process of scheduling and rescheduling medical appointments, tracking appointment statuses and providing reports to assist in quality of care process. Obtains physician signatures on lab reports, consultations, progress notes, etc., and files signed documents in the appropriate patient record within prescribed timeframes in order to document patient care. Performs other duties as assigned in order to ensure that services are provided. Directly responsible for the electronic medical records. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location. Knowledge, Skills and Abilities (KSAs): Must have computer experience and have good general clerical skills. Ability to work well with others. Skilled in the use of office equipment such as fax machine, copier, etc. Knowledge of computer software - Microsoft Outlook, Word, Excel, Power Point Adobe Acrobat a MUST. Accurate filing, retrieving, purging, scanning medical reports. Complete accurate data entry, able to maintain and update Electronic client information records and folders. Good communication and writing skills. Great planning and organizational skills, able to prioritize and complete job duties in a timely manner. Multi-task, and complete other duties assigned. Ability to work harmoniously with coworkers. Registrations, Licensure Requirements or Certifications: None Initial Screening Criteria: High school graduate or GED equivalent At least two years of medical related experience.
