Catholic Charities of Baltimore, Gallagher Services is seeking a Medical Support Professional (MSP) to provide quality clerical and medical attention (advocating and attending medical appointments, scheduling, transportation, medical file maintenance, personal care, etc.) to persons with developmental/intellectual disabilities (ID/DD) living in the community. Job duties may vary based on program needs. The MSP ensures that human, civil, and legal rights of all people are protected by advocating, teaching, promoting dignity, and reasonable risk and following mandatory reporting guidelines for the people supported. The work schedule is Monday-Friday 8 AM - 4:30 PM.

Job duties & responsibilities
- Maintains complete, accurate, and current medical records in iCare Manager (iCM) and other designated systems by entering, updating, and validating health-related information, including providers, diagnoses, allergies, appointments, laboratory results, physician documentation, and other required data so records remain accurate, accessible, and audit-ready.
- Manages medical appointment records and related healthcare documentation from scheduling through retention by entering appointments, tracking receipt of records, uploading and organizing documentation, documenting physician recommendations, recording follow-up needs, and ensuring records are accurately labeled, assigned, retained, available for review, and properly closed in iCM in accordance with agency and regulatory requirements.
- Maintains Nursing Plans of Care and related healthcare updates in iCM by verifying document dates, program assignments, funding streams, provider information, diagnoses, allergies, monitoring requirements, and staff training needs so NPOCs remain accurate, current, compliant, and accessible to designated personnel.
- Communicates medical documentation changes and follow-up needs to Program Managers, nursing staff, and other designated personnel in a timely and professional manner to support continuity of care, accurate records, and required staff training coordination.
- Conducts routine audits of medical records and documentation to identify missing, incomplete, outdated, or inaccurate information and follows up until corrections are completed, supporting compliance, quality assurance, and readiness for internal or external review.
- Protects confidentiality and supports agency compliance initiatives by handling protected health information in accordance with HIPAA, agency policies, and applicable regulations, and by assisting with scanning, filing, retention, reporting, and other documentation management activities.
- Performs other duties as assigned.
Education & experience requirements
- High school diploma or GED.
- One (1) year of healthcare field experience, including experience with:
- Electronic medical records (EMR/EHR) systems;
- Healthcare documentation and Nursing Plans of Care; and
- Compliance and accreditation requirements.
- Experience supporting individuals with intellectual and/or developmental disabilities, or experience in a related field, preferred.
Required skills & abilities
- Ability to accurately enter, update, and verify medical data in iCare Manager and other designated systems to support complete, current, and audit-ready records.
- Skilled in organizing, uploading, labelling, filing, retrieving, and retaining healthcare documentation in accordance with agency procedures, HIPAA requirements, and applicable regulatory standards.
- Working knowledge of medical terminology, provider information, diagnoses, allergies, appointments, and Nursing Plans of Care to support accurate documentation and follow-up.
- Demonstrated capacity to review records for accuracy, completeness, and compliance; identify missing or inconsistent information; and follow up until corrections are completed.
- Strong organizational skills to prioritize high-volume documentation tasks, appointments, follow-ups, and deadlines to complete work timely and accurately.
- Professional communication skills to coordinate documentation needs, updates, and follow-up requirements with Program Managers, nursing staff, healthcare providers, staff, people supported, visitors, and other partners.
- Requires proficiency in using computer systems and software to perform job function, including but not limited to, iCare Manager or comparable electronic health record systems, basic Windows PC, web browsing (i.e., Chrome, Internet Explorer, etc.), and Microsoft Outlook. Knowledge of other Microsoft Office applications, such as Word, Excel PowerPoint, Teams, and OneDrive is preferred.

- No remote or hybrid work availability based on core and essential functions of the position.
- Moving about to accomplish tasks or transitioning between different work sites, which may involve walking, standing, or traveling to various locations as required by the role.
- Adjusting or moving objects up to 50 lbs. in all directions, which may include lifting, carrying, pushing, pulling, or repositioning items as necessary to perform job duties.
- Engaging in communication with others to exchange information, which may involve speaking, listening, writing, or using electronic communication methods to ensure clear and effective understanding. This includes both verbal and non-verbal interactions with colleagues, clients, or external parties.
- Repetitive motions involving the wrists, hands, and/or fingers, including tasks such as typing, data entry, or handling small objects. These repetitive activities may occur throughout the workday and require attention to ergonomics to ensure comfort and minimize strain.
- Assessing the accuracy, neatness, and completeness of assigned work to ensure it meets quality standards and adheres to established guidelines.
- Hearing and vision abilities, with or without correction, sufficient to drive safely and effectively observe and communicate with others.
- Positioning oneself in ways to accomplish tasks in various environments, including navigating tight or confined spaces as needed to complete job responsibilities.
- Remaining in a stationary position, which may involve standing or sitting for extended periods, as required to complete tasks or duties associated with the role.
