Job Description

The Office Assistant is responsible for maintaining, organizing, retrieving, tracking, and archiving diagnostic imaging records and associated documentation. This role ensures the availability and integrity of patient imaging studies for clinical care, regulatory compliance, and continuity of treatment. The Film Librarian serves as a key resource for radiologists, physicians, technologists, and other healthcare personnel by efficiently managing imaging records in both physical and digital environments. ESSENTIAL DUTIES & RESPONSIBILITIES (including but not limited to): · Retrieve, file, and maintain radiology films, images, and related patient records. · Manage the release and tracking of imaging studies in accordance with HIPAA and organizational policies. · Process requests for imaging records from physicians, patients, healthcare facilities, and authorized third parties. · Coordinate the transfer of imaging studies through PACS, CDs, secure electronic transfer systems, or other approved methods. · Verify patient information and ensure accurate documentation of all requests and releases. · Maintain organized archival systems for radiology records and films. · Monitor and reconcile film or image tracking systems to ensure studies are accounted for at all times. · Assist in digitizing and migrating historical imaging records when necessary. · Respond to inquiries from physicians, technologists, and clinical staff regarding imaging records. · Ensure compliance with record retention requirements, legal regulations, and accreditation standards. · Troubleshoot basic issues related to imaging retrieval and storage systems. · Maintain confidentiality and security of patient health information. · Assist with departmental quality improvement initiatives and audits. · Perform other duties as assigned.

Qualifications

· High School Diploma or GED required. · Previous experience in a healthcare, medical records, radiology, or administrative setting preferred. · Knowledge of medical terminology is preferred. · Basic computer proficiency, including experience with electronic health records (EHR) and imaging systems. · Experience with PACS (Picture Archiving and Communication System) is preferred. · Experience with radiology information systems (RIS) is preferred. · Strong organizational and record management skills. · Excellent attention to detail and accuracy. · Effective verbal and written communication skills. · Ability to maintain patient confidentiality and work with sensitive information. Must be able to lift up to 25 lbs. · Awareness of occasional exposure to infectious disease and to possible carcinogenic, mutagenic, and sensitizing medications. Pay Range: $20.50 - $27.59 The pay range listed for this position is the base hourly wage range the organization reasonably and in good faith expects to pay for this position at this time. Actual compensation is determined based on several factors, that may include seniority, education, training, relevant experience, relevant certifications, geography of work location, job responsibilities, or other applicable factors permissible by law. Compensation may exceed the base hourly rate depending on shift differentials, call pay, premium pay, overtime pay, and other additional pay practices, as applicable to the position and in accordance with the law.
