The Intake Operations Specialist plays a critical role in the facility's admissions process, serving as the primary point of contact for referring facilities and incoming patients. This role is responsible for coordinating referrals, managing bed availability, executing admissions workflows, and ensuring accurate clinical and administrative documentation. The ideal candidate maintains high organizational standards, excellent communication skills, and a dedication to patient-centered care during the initial intake phase. Core Job Responsibilities
Referral & Facility Coordination: Effectively manage incoming referrals by contacting referring agencies, reviewing documentation, and actively communicating with external facilities regarding current bed availability.
Admissions Scheduling & Charting: Coordinate and schedule incoming admissions, initiating and building accurate clinical charts within the Electronic Medical Record (EMR) system for all arriving patients.
Assessments & Clinical Consents: Complete comprehensive intake assessments as necessary and facilitate the execution of all patient admission consents.
Legal & Guardian Documentation: Diligently obtain all required admission paperwork, including securing legal guardian admission consents when applicable.
Patient Asset Management: Document and log patient belongings into the facility system, ensuring items are safely stored away in designated secure storage spaces.
Data Integrity & Tracking: Maintain accurate and up-to-date internal intake logs, admission trackers, and facility logs across each shift.
Accountability & Productivity Tracking: Complete and maintain a detailed daily shift productivity log to account for tasks completed during every scheduled shift.
Operational Flexibility: Perform other duties and professional tasks as assigned by departmental leadership to support the changing needs of the intake environment.
Required Qualifications & Skills
Strong verbal and written communication skills for professional communication with medical and clinical professionals.
Proficiency with Electronic Medical Record (EMR) systems and digital logging tools.
Excellent time-management skills and the ability to maintain productivity during fluctuating referral volumes.
Strict adherence to HIPAA regulations and patient confidentiality standards.
Education: High School diploma or equivalent
Experience with crisis management or patient intake preferred.
Current CPR and First Aid (preferred) Current CPI certification (preferred) LANGUAGE SKILLS: Able to communicate effectively in English, both verbally and in writing
Candidates must have a high school diploma and proficiency with EMR systems and HIPAA regulations. Experience in crisis management or patient intake, along with CPR, First Aid, and CPI certifications, is preferred.
