Our Dental Program is deeply committed to partnering with our community to ensure that underserved populations across Multnomah County receive essential dental education, prevention, and treatment services. We are looking for a dedicated individual to join us as an Office Assistant Senior! In this role, you will be instrumental in managing complex clerical functions, coordinating outreach, supporting team meetings and training, and contributing to special projects that help our program thrive. This position offers a dynamic environment where you may work across different teams and locations under the direction and request of our Dental Clinic Supervisor.

  • Senior, you will: Develop, prepare, distribute and manage weekly and monthly reports; identify discrepancies and follow up with the Dental Clinic Supervisor to correct with staff as needed Distribute, collect and store work schedules/ time off requests per guidelines and policies. Assist Dental Clinic Supervisor with leading the work of administrative staff and provides back up to Front Desk. Provide feedback and recommendations for clinic work flows and process improvement; track and report out provider productivity. Under direction of the Dental Clinic Supervisor, oversee cash and cash equivalent handling procedures including petty cash, end of day (EOD) process, bus tickets, cab vouchers, and/or postage stamp management. Perform daily review of provider schedules and schedule forecasting or re-arranging in partnership with Dental Clinic Supervisor Triage patients need over the phone to determine and schedule appropriate appointments. Register eligible patients into electronic health record, including all demographic information, guarantor account, and insurance information; explain dental access program limitations, fee policy guidelines and financial obligation for receiving services. Schedule new patients into care across Health Department Primary Care and Dental systems. Contact potential clients assigned to Multnomah County by their insurance plan, but have not yet established care; provide outreach to previous clients to re-establish care in order to complete treatment plans. Coordinate and communicate with the School and Community Oral health team to connect clients from community-based outreach efforts with dental services; track contacts, no response and related actions into spreadsheets or other tracking systems. Build and maintain provider templates; work with Dental Program leadership and clinical systems staff to help develop and build options for provider templates based on established protocols. Research other dental programs and teams/groups for best practices to improve templates.
