About the role

The Cardiac Medical Assistant provides clinical support including patient intake, vital signs, and the performance of cardiovascular diagnostic tests like EKGs. They also manage administrative tasks such as care coordination, prior authorizations, and patient education to ensure high-quality cardiovascular care.

The Cardiac Medical Assistant supports physicians, advanced practice providers, and clinical staff in delivering exceptional cardiovascular care. This role is responsible for patient intake, clinical support, diagnostic testing preparation, patient education, care coordination, and administrative functions while ensuring a positive patient experience and adherence to organizational policies, procedures, and regulatory requirements.

Duties and Responsibilities

  • Patient Care
  • Room patients and obtain vital signs, including blood pressure, pulse, oxygen saturation, height, and weight.
  • Document chief complaints, symptoms, medications, allergies, and medical history in the electronic medical record (EMR).
  • Update patient demographic information and verify insurance details as needed.
  • Prepare patients for provider examinations, treatments, and procedures.
  • Assist physicians and advanced practice providers during patient visits and clinical procedures.
  • Perform and accurately document electrocardiograms (EKGs).
  • Assist with enrollment, placement, and patient education for Holter monitors, event monitors, mobile cardiac telemetry (MCOT), and remote monitoring programs.
  • Provide patient education regarding medications, diagnostic testing, lifestyle modifications, and follow-up care instructions.
  • Maintain efficient patient flow and ensure exam rooms are prepared between visits.

Diagnostic Testing Support

Prepare and assist patients for cardiovascular diagnostic procedures, including

  • Electrocardiograms (EKGs)
  • Echocardiograms
  • Stress Tests
  • Nuclear Stress Tests
  • Holter Monitors
  • Event Monitors
  • Mobile Cardiac Telemetry (MCOT)

Additional responsibilities include

  • Verifying test orders and ensuring appropriate patient preparation.
  • Obtaining and documenting patient consents when required.
  • Communicating testing instructions and answering patient questions.
  • Ensuring accurate and timely documentation in the EMR.
  • Administrative Responsibilities
  • Document patient encounters accurately and promptly.
  • Review provider schedules and prepare patient charts prior to appointments.
  • Process prescription refill requests in accordance with established protocols.
  • Coordinate prior authorizations for medications, diagnostic testing, and procedures.
  • Schedule follow-up appointments, referrals, and testing.
  • Respond to patient calls, portal messages, and clinical inquiries in a professional and timely manner.
  • Coordinate care with hospitals, specialists, diagnostic facilities, and primary care providers.
  • Maintain confidentiality and compliance with HIPAA regulations.

Qualifications

  • Education
  • High School Diploma or GED required.
  • Medical Assistant Certification preferred (CMA, RMA, NCMA, CCMA, or equivalent).
  • Experience
  • Minimum of one (1) year of Medical Assistant experience preferred.
  • Prior cardiology experience strongly preferred.
  • Experience with EMR systems and cardiovascular diagnostic testing preferred.
  • Knowledge, Skills, and Abilities
  • Knowledge of cardiovascular terminology, diseases, and treatment plans.
  • Ability to accurately obtain vital signs and perform EKGs.
  • Familiarity with cardiac monitoring devices and remote patient monitoring programs.
  • Strong organizational, time-management, and multitasking abilities.
  • Excellent interpersonal, communication, and patient service skills.
  • Ability to work independently and collaboratively in a fast-paced clinical environment.
  • Proficiency with EMR systems and Microsoft Office applications.
  • Preferred Cardiology Experience
  • EKG acquisition and interpretation support.
  • Holter, Event Monitor, and MCOT enrollment and education.
  • Stress test and nuclear stress test preparation.
  • Echocardiogram patient preparation.
  • Prior authorization coordination for cardiovascular testing and procedures.
  • Patient education related to heart failure, atrial fibrillation, anticoagulation therapy, and other cardiac conditions.
  • Performance Expectations

  • Complete clinical documentation accurately and within established timelines.
  • Maintain professionalism and confidentiality in all patient interactions.

  • Support practice goals related to patient access, quality outcomes, and operational efficiency.

Physical Requirements

This position requires a full range of body motion. While performing the duties of this job, the employee is regularly required to sit, walk, and stand; talk or hear, both in person and by telephone; use hands repetitively to handle or operate standard office equipment; reach with hands and arms; and lift up to 50 pounds.

Work Environment

Work is performed in a typical medical clinic and/or business office environment. Work in a clinical setting has the potential for exposure to blood and bodily fluids, and infectious pathogens. Must be able to use protective equipment as required.
