West is looking for a full-time Preference Card Coordinator

CST to join our team! SUMMARY: The Preference Card Coordinator – CST is responsible for developing, building, reviewing, and maintaining accurate, standardized, and current surgical preference cards within the electronic medical record (EMR). This position collaborates with surgeons, clinical staff, materials management, sterile processing, and other departments to translate approved procedure-specific requests into preference card documentation. The Preference Card Coordinator supports accurate case planning, resource availability, inventory management, and continuous process improvement. ESSENTIAL FUNCTIONS:

Creates, builds, reviews, updates, and maintains surgical preference cards within the electronic medical record based on approved requests and established procedures.

Translates approved surgeon and procedure requirements into accurate documentation of supplies, instrumentation, equipment, implants, medications, and vendor representative needs.

Collaborates with surgeons and clinical staff to clarify requested changes and obtain required clinical or operational approvals before implementation.

Conducts routine reviews to identify and correct outdated, duplicated, unnecessary, incomplete, or inconsistent preference card information.

Standardizes preference card content, naming conventions, and terminology in accordance with established documentation standards.

Maintains documentation of preference card additions, revisions, approvals, and review dates.

Communicates implemented preference card changes to affected departments and team members.

Investigates and corrects preference card discrepancies within the EMR.

Collaborates with materials management and sterile processing to resolve identification or availability issues involving supplies, instruments, implants, and equipment listed on preference cards.

Participates in process improvement initiatives related to preference cards, inventory utilization, resource planning, workflow efficiency, and physician satisfaction.

Provides staff education and guidance regarding preference card processes, documentation standards, and system changes.

Perform other related tasks as needed.

Knowledge, skills, and abilities

  • Knowledge of surgical procedures, medical terminology, instrumentation, supplies, implants, and equipment.
  • Knowledge of preference card workflows and procedure-specific resource requirements.
  • Ability to interpret and translate surgeon and procedure requirements into accurate preference card documentation.
  • Knowledge of inventory management, supply utilization, and resource-planning practices.
  • Ability to use electronic medical record and preference card management systems.
  • Strong attention to detail and commitment to data accuracy.
  • Strong organizational, prioritization, and problem-solving skills.
  • Effective verbal and written communication skills.
  • Ability to collaborate effectively with surgeons, clinical staff, vendors, materials management, sterile processing, and finance personnel.
  • Ability to manage multiple priorities and respond to changing procedural needs.
  • Ability to identify workflow inefficiencies and recommend process improvements.
  • Proficiency in Microsoft Office, including Word, Outlook, and Excel.

Education and experience

  • Graduate from an accredited educational program for surgical technologists, Certified as a Surgical Technologist by the National Board of Surgical Technology and Surgical Assisting (NBSTSA) or the National Center for Competency Testing (NCCT); or
  • Successful completion of an approved training program for surgical technology in the United States Armed Forces (Army, Navy, Air Force, Marine Corps, or Coast Guard) or the United States Public Health Service
  • One (1) year of operating room or clinical supply chain experience in a healthcare facility
  • Basic Life Support (BLS) certified

Requirements

Candidates must be a graduate of an accredited surgical technologist program and hold a valid certification from NBSTSA or NCCT. At least one year of operating room or clinical supply chain experience and Basic Life Support (BLS) certification are required.
