ACTT Program Assistant
The ACTT Program Assistant provides administrative support for the Assertive Community Treatment Team by coordinating non-clinical operations and managing communication. Responsibilities include handling intake documentation, scheduling, authorization tracking, and serving as a primary point of contact for staff and clients.
Blue Ridge Health is currently seeking an ACTT Program Assistant to be part of our Behavioral Health Team in Waynesville, NC.
This ACTT Program Assistant is responsible for providing administrative support for our Assertive Community Treatment Team (ACTT) by organizing, coordinating, and monitoring all non-clinical operations of ACTT under the supervision of the ACTT Team Leader. Responsibilities include:
Manage incoming and outgoing mail.
Respond to the public and service recipients who call or visit the office by:
Coordinating and triaging communication between staff and service recipients.
Addressing urgent situations, including temporarily managing the situation until other staff can respond.
Responding with respect and compassion to behaviors influenced by mental health symptoms.
Reporting unusual or concerning behaviors or symptoms.
Determining when and how quickly calls should be referred to other staff.
Serve as the primary point of contact for communication among ACTT team members as they perform their duties at various locations throughout the community.
Remain calm and professional when interacting with upset or angry consumers, family members, or members of the general public.
Coordinate the approval and submission of HR documents, including staff timesheets, travel reimbursement forms, leave requests, and on-call forms, as requested by the ACTT Coordinator.
Ensure completion and proper filing of all initial intake documentation, including Consent for Services, Green Financial Sheet, Consumer Admission Form, and STR Registration. Ensure annual updates are completed as needed.
Support schedule coordination and management, including tracking client appointments and ensuring scheduled events are considered when developing the daily work plan.
Coordinate authorization information, including:
Tracking expiration dates for authorizations and PCPs.
Submitting authorization requests in a timely manner.
Submitting and tracking registration checklists and program reports.
Maintaining accurate client demographic information.
Reviewing documents for completeness before submission.
Coordinate company vehicle maintenance and scheduling.
High School Diploma or GED.
Strong computer and typing skills, with the ability to communicate clearly and professionally with patients, families, and coworkers.
Ability to follow written and verbal instructions, record basic information accurately, and report observations or concerns to a supervisor.
Ability to build respectful, professional relationships with patients, coworkers, and community partners.
Ability to work effectively as part of a multidisciplinary team.
Ability to work respectfully with people from diverse cultural backgrounds and respond appropriately to different needs, perspectives, and experiences.
Willingness to complete training related to cultural awareness and the diverse populations served by Blue Ridge Health.
